Terms for using AquaComply
These terms explain training, risk assessments and the separate Rental Spa Logbook.

Service and accounts
AquaComply.uk provides online water hygiene learning through individual learner accounts. Account details must be accurate, kept secure and used only by the named learner. Course access may be provided directly or through an employer or client organisation.
Course access and acceptable use
Course material is supplied for the learner’s personal training and workplace reference. It must not be copied, republished, shared outside the authorised organisation or used to create competing material without written permission. We may suspend access where there is misuse, a security risk or an unpaid order.
Assessment and certificates
A completion certificate is released only when the portal records all required learning and successful assessment results, unless an administrator records an authorised training exception. A certificate evidences completion of the named online course; it does not by itself prove practical competence, appointment to a statutory role or accreditation by a third party unless the course page expressly says so.
Employer responsibilities
Employers and duty holders remain responsible for suitable risk assessment, site-specific instruction, supervision, competency checks and compliance with applicable law and guidance. Course content is general training and is not a substitute for professional advice about a particular water system.
Risk assessment services
The scope, service level, price and review arrangements are shown before purchase. A guided client self-assessment records information supplied by the client and is labelled accordingly. An assessor-reviewed service includes review of submitted evidence before approval; an on-site visit is included only where expressly agreed. Clients must provide accurate site details, disclose limitations and make the system available for any agreed inspection. The report records the position based on the information and evidence available at the assessment date. The duty holder remains responsible for implementing and reviewing controls.
Rental Spa Logbook
This is a separate annual subscription for each named pool. The first-year price, VAT and the 3% increase at each annual renewal are displayed before checkout. Stripe manages the recurring charge and provides a way to manage or cancel future renewals. Cancellation stops a future renewal; paid access continues to the end of the current period. Existing records remain available to read when recording access expires. The operator is responsible for the pool's approved monitoring scheme, accurate entries, testing, corrective action and decisions about use. Flo's prompts support record keeping and do not set safe limits or declare a pool safe.
Payments and service availability
Payment is taken through secure checkout when the relevant service is open for purchase. A profile or draft does not itself create a paid order. Where checkout is temporarily paused, the site will identify that before payment. Any bespoke service scope agreed in a quotation takes precedence for that work, subject to statutory rights.
Availability and changes
We aim to keep the portal available and course information accurate, but maintenance and events outside our control may interrupt access. We may correct or update content where guidance, practice or the service changes. Statutory rights are not affected.
