How AquaComply information is handled
We use information needed to provide training, logbooks, risk assessments, payments, support and service security.

Information we use
This can include names, email addresses, organisations, contact details, usernames, course assignments, learning progress, results, certificates, site and water-system details, equipment and monitoring records, task and defect histories, property and spa-pool details, site photographs, risk assessment answers, uploaded RAMS and other evidence, assessor comments and sign-off, support messages, transaction references and security or audit events. Uploaded documents and photographs may contain information about identifiable people; please avoid including information unrelated to the service. Passwords are stored as protected hashes rather than readable passwords.
Why we use it
Information is used to provide requested training, logbook and assessment services, verify access, keep site control records, create and review reports, retain evidence, manage payments, communicate essential service messages, support organisational reporting, respond to enquiries, prevent misuse and meet legal or accounting obligations. Depending on the purpose, processing may be necessary for a contract, legitimate interests, legal obligations or consent.
Who can see it
Authorised client managers may see relevant learner information for their verified organisation. Logbook site users see records for sites they are permitted to access. A risk assessment may be seen by its client, an assigned assessor and authorised administrators. We use hosting, storage, email and payment providers to operate these services. Payment checkout is handled by our payment provider; our assessment records include payment status and transaction references. Information is not sold.
Retention and your choices
Records are kept only for as long as reasonably needed for the training service, evidence, security and applicable legal obligations. You may ask to access, correct or delete personal information, object to or restrict some processing, or raise a concern with the UK Information Commissioner’s Office. Some records may need to be retained where there is a legal or contractual reason.
Cookies and device storage
Our signed-in portals use essential session storage or cookies to keep access working. The logbook can also keep a local copy or earlier draft in this browser for continuity and export. On a shared device, another person with access to the same browser profile may be able to see locally retained information after sign-out. Use a separate protected browser profile or device for client records and clear local browser data when it is no longer needed. We do not currently use advertising cookies on the training portal.
